
Terms and Conditions
All safaris booked and conducted through Cletus & Joe Safaris are governed by the following terms and conditions. For a comprehensive overview, please refer to the Safari Price List and Contract.
1. Interpretation
1.1 Cletus & Joe Safaris refers to Cletus & Joe Safaris or its nominees, agents, guides/Professional Hunters (PH), or staff.
1.2 "Client “refers to the individual named on the Contract or Tax Invoice and includes their agents, hunting companions, and anyone accompanying the client during the hunt.
1.3 The term "hunt" encompasses all activities offered by Cletus & Joe Safaris, including hunting, fishing, boating, general tour services, and any other services provided to the client.
1.4 Cletus & Joe Safaris ensures that hunts are conducted by an experienced and qualified professional hunter(s), referred to as the "PH".
2. Terms of Booking
2.1. Deposit Policy: A deposit amounting to 50% of the total daily rates, plus a 2% Zimbabwe Tourism Authority (ZTA) government levy, is required to secure the booking. This deposit must be transferred to Cletus & Joe Safaris, with the balance due one month prior to the commencement of the hunt (refer to clause 3.1). Hunts booked in the previous year will retain the pricing from that year for daily rates only. Trophy fees will be charged based on the price list relevant to the year in which the hunt takes place. The cancellation policy applies to all payments, including amounts exceeding the required deposit.
2.2 Confirmation of Bookings: A safari booking is confirmed upon receipt of a signed safari contract and a deposit of 50% of the total daily rate plus a 2% Zimbabwe Tourism Authority (ZTA) government levy.
2.3 Hunt Contract: Upon acceptance of a quote and receipt of the deposit, a hunt contract will be provided for signature.
2.4 Indemnity Form: Each participant must complete and return an Indemnity Form before departing for Zimbabwe. This is a legal document and must be filled out completely and legibly.
2.5 Invitation Letter: An invitation letter will be issued upon receipt of the client’s personal, weapon, and flight details.
3. Payments Policy
3.1 Final Payment: The remaining balance, which includes the balance of the daily rate, trophy fees for reserved animals, and any additional expenses, is due 30 days prior to the start of the safari
3.2 Payment at Conclusion of Safari: Trophy fees for any animals killed or wounded, as well as any additional expenses incurred during the safari, must be settled at the conclusion of the safari. Payments can be made in cash (US dollar notes must be clean, unmarked, and from the 2009 series or later) or by electronic bank transfer. Any unused credits will be refunded within 30 days of the safari's end date.
3.3 Currency: All prices are quoted in USD unless otherwise specified.
3.4 Currency Fluctuation: Cletus & Joe Safaris reserves the right to adjust pricing according to exchange rate fluctuations.
3.5 Price Changes: Prices are approximate and may change without notice, except for hunts where Cletus & Joe Safaris holds a deposit, which are only subject to clause 2.3.
3.6 Payments: Accepted payment methods include bank transfers, Visa, MasterCard, or cash (with a 2.0% surcharge on Visa and MasterCard payments). Bank transfers and cash are preferred.
· 3.6.1 Alternative Payment Arrangements: Any other payment arrangements must be authorized in writing.
· 3.6.2 Checks & Cash Payments: The Reserve Bank of Zimbabwe does not accept personal or traveller checks. Cash payments must be accompanied by a stamped Form 47 Customs Declaration, completed upon arrival in Zimbabwe.
3.7 Cancellation Policy:
· 3.7.1 Refunds: . Deposits are non-refundable if a hunt is canceled within six months of the scheduled safari.
· 3.7.2 . For cancellations made more than six months before the safari date, efforts will be made to refund the full amount or a portion thereof, should the hunt be resold. If necessary, the hunt may be resold at a discount against the deposit
· 3.7.2 90 – 60 days before the hunt: The deposit can be transferred to another date within 12 months from the original booking date.
· 3.7.3 60 – 14 days before the hunt: The deposit is forfeited.
· 3.7.4 Within 14 days: 100% charge of the entire hunt is due.
· 3.7.5 . In cases where the Safari Operator cancels the hunt, or if the area is closed to hunting or travel prior to the safari's commencement, a full refund will be provided.
· 3.7.6 . No refunds will be issued if the client leaves the safari before the scheduled completion date.
3.8 Overdue Accounts: A 10% interest fee applies to overdue accounts. The client is responsible for all debt collection and legal fees if legal proceedings are necessary.
3.9 Hunt Transfers: Deposits and hunt arrangements can be transferred to another client with notice and written consent from Cletus & Joe Safaris.
3.10 Exclusions: Unless specified, the following items are not included in trophy fees or daily rates: taxidermy costs, airfares, travel insurance, personal liquor, lodging upgrades, rifle hire, ranger fees, emergency accommodation, and phone charges.
3.11 Tips/Gratuities: Gratuities are preferred in cash, with 15% of the hunt total being the usual amount, though this is at the client's discretion.
4. Travel Arrangements Policy
4.1 The client is responsible for arranging travel to and from Zimbabwe, including travel documents, visas, certificates, and medical insurance. Cletus & Joe Safaris is not liable for issues related to entry refusals or travel disruptions.
4.2 Travel, Medical, and Cancellation Insurance: The client must arrange appropriate insurance. Cletus & Joe Safaris reserves the right to cancel the hunt if the client fails to obtain insurance.
4.3 Liability Insurance: Clients must secure adequate travel and liability insurance.
4.4 Medical: Clients are required to have appropriate medical insurance that covers repatriation to their home country. World Nomads, Global Rescue and Med jet Assist are recommended options for such coverage
l 4.4.1 The client must obtain necessary medical insurance and take precautions to ensure their fitness for the hunt.
l 4.4.2 In case of illness or injury, Cletus & Joe Safaris will assist in obtaining medical care, with the client covering any associated costs.
4.5 Transfers/Charters: Most clients fly in and out of Bulawayo and Victoria Falls. Road transfers with the vehicle cost $250 if the camp is located more than 400 km away. The vehicle accommodates one person comfortably (two at maximum). If a larger vehicle or air charter is preferred, arrangements can be made accordingly.
5 Accommodation Policy
5.1 Camp allocations; Camps are based on the area most suitable for the requested species and the number of people in the hunting party. Allocations operate on a first-come, first-served basis. While efforts are made not to alter bookings once a camp has been assigned, changes may be necessary under certain circumstances. Camps are typically booked exclusively.
6. Game
6.1 Trophy Guarantee: Cletus & Joe Safaris and its agents will strive to fulfill the booked game hunts but cannot guarantee successful hunts or trophy quality. Schedules may be altered due to weather, game migration, or other conditions.
6.2 Wounded or Lost Game: Cletus & Joe Safaris will attempt to recover any wounded or lost trophies. If a trophy is not recovered, 100% of the applicable trophy fee is charged.
7 Policy on Lion and Leopard Hunts
7.1 Fines: Shooting a leopard or lion without the consent of the professional hunter, regardless of the animal's age, will incur an immediate fine of US$ 30,000.00 for a leopard and US$ 50,000.00 for a lion. The hunt will not continue until the fine is paid in full.
7.2 Leopard Hunts with Dogs: The hunting of leopards using dogs is restricted to private ranches and requires adherence to specific regulations. A fee of approximately $1,500 must be paid to the Parks Authority for a Special Hound Permit, which should be obtained no later than 60 days prior to the scheduled hunt. In addition, a receipt for $200 from the dog handler must be submitted alongside this payment to the Parks Authority to fulfill the necessary requirements.
8. Policy on Bow & Arrow Hunts
8.1 Special Bow & Arrow Hunting Permits: The use of bow and arrow for hunting is prohibited in national parks and safari concessions, with the exception of private ranches. For big game bow hunts, a fee of $1,500 must be paid to the Parks Authority, while a fee of $1,000 is required for plains game bow hunts. These payments must be made at least 60 days prior to the start of the hunt.
9. Firearms
9.1 Clients must ensure compliance with all legal requirements for importing and using firearms in Zimbabwe. Cletus & Joe Safaris offers firearms for hire, if necessary, with ammunition available at an additional cost.

10. Force Majeure
Cletus & Joe Safaris is not liable for interruptions, delays, or cancellations due to unforeseen events such as illness, death, riots, wars, acts of God, flight cancellations, government actions, road or weather conditions, wild animal attacks, mechanical breakdowns, or accidents. Clients are advised to obtain travel and cancellation insurance.
11. Indemnity/Waiver
Indemnity Form: Each participant must complete and return an Indemnity Form before departing for Zimbabwe. This is a legal document and must be filled out completely and legibly.
11.1 Liability: Hunting is inherently dangerous, and while Cletus & Joe Safaris is committed to ensuring your safety, comfort, and enjoyment, we cannot be held liable for any accidents, illnesses, or fatalities that may occur during the safari.
11.2 The client participates in the hunt at their own risk. The client waives all rights and claims against Cletus & Joe Safaris and its associates for any injury, death, damage, or loss arising from the hunt.
11.3 This waiver extends to any facilities used by Cletus & Joe Safaris, including motor vehicles, boats, and other equipment, even in cases of negligence by Cletus & Joe Safaris or its agents.
11.4 Cletus & Joe Safaris is not responsible for any loss or damage to the client's property during the hunt. Any found items can be returned at the client's expense.
12. Zimbabwe Law Applies
Any disputes arising from this agreement are subject to Zimbabwean law and the jurisdiction of the High Court of Zimbabwe.
13. General
13.1 Cletus & Joe Safaris reserves the right to use any photography or film taken during the hunt for marketing purposes without prior consent from the client.
13.2 If the client breaches this agreement or behaves unacceptably, Cletus & Joe Safaris may terminate the hunt without refund.
13.3 The client is responsible for ensuring that all accompanying persons are aware of and agree to these terms and conditions.
13.4 This agreement constitutes the entire contract between the parties and can only be amended in writing.
13.5 No other representations, warranties, or guarantees are binding unless included in this agreement.
14. Acknowledgement of Terms
By paying the deposit, the client acknowledges and agrees to these terms and conditions and accepts the disclaimers of liability contained herein.
